CSU Managed Services, a division of CareerStaff Unlimited, is looking to hire an Operations Coordinator to work for our energetic, fast-paced and outgoing team in Schaumburg, IL! Position Summary: Responsible for the overall office management and clerical support for our Managed Service Provider (MSP) The individual ensures all operational business processes and systems are maintained according to company standards. A high level of organization and personal accountability is required.
 
Responsibilities/Account-abilities:
  1. Compiles weekly payroll and submits it to the corporate office for processing. Performs monthly billing administration to all accounts at specific defined billing cycles.
  2. Provides maintenance of all sub-vendor records and is responsible for the completion and submission of all on-boarding documentation for all registrants. Order name badges for new hires.
  3. Assists employees to ensure their personal information in GenSERV is accurate and current.   Ensures employee data in GenSERV is accurate and current.
  4. Ensure compliance with all federal, state and local laws and regulations related to all business practices.  
  5. Prepares weekly accounts payable request to the corporate accounts payable department and maintains all accounts payable records for the division and or location.
  6. Track account management activities through various reports
  7. Maintain relationships with clients and external employees by providing excellent customer service.
  8. Maintain sub-vendor agreements and contracted requirements. This includes (but is not limited to) managing sub-vendors, negotiating bid rates, job orders to increase fill rate, and credentialing of candidate submittals.
  9. Ensures proper inventory levels of office supplies and equipment are maintained.
  10. Ensures equipment is in good order and secures necessary repairs or replacement as directed.
  11. Prepares various operational reports as directed by the Area Manager or Director.
  12. Receive, sort and prioritize all mail for the Area Manager/Area Director for expediency in processing items requiring signatures or action.  Composes routine correspondence.
  13. Answers the telephone and provides information or directs calls accordingly.
  14. Works independently on special projects and assignments, as assigned.


Specific Education/Vocational Requirements:
  1. 1-2 year of supervised office experience within the past 3 years
  2. At least 1 year of previous credentialing or operations experience, required
  3. Associate's Degree required, Bachelor's preferred.
  4. Proficiency with Microsoft Office Applications.
